Who it is for

Every company runs on customers. Start from yours.

Roost is one product for any small or mid-sized company. What changes from one business to the next is which switches are on. Here are six starting points. Each is the same workspace, with a different set of modules switched on.

Trades and home services

From the first call to the paid invoice, on one customer.

A customer rings, books a visit, gets an invoice and pays it online. Every step lands on the same record, so the next job starts with the history of the last one.

What it uses

Each step is written to the customer, not to the tool that handled it.

Appointments · labs

A booking page for a visit

Customers pick a time. A reminder goes the day before, a text two hours before, and a visit nobody turned up for raises a follow-up on its own.

Invoices · labs

An invoice they can pay online

Lines, a due date and a receipt once it is paid. A one-off payment link for anything that does not need an invoice.

Phone · labs

Every call on the record

Calls answered or taken as voicemail, logged against the person, and a text back when one is missed.

Clubs and associations

Memberships that renew, events people come to, a newsletter they read.

Members join online, renew with a reminder, and get a grace period when they forget. Events and the newsletter run off the same list of people.

  2. 02Active
  3. 03Renewal due
  4. 04Grace
  5. 05Renewed

Thirty days of grace before a membership lapses.

Memberships

Plans and a join page

Joining online with a card, automatic renewal a member can stop from the portal, and a grace period before anyone lapses.

Events

Tickets and a door list

Sell tickets, check people in at the door, and add sponsorships, an auction or a raffle when the night calls for one.

Campaigns and journeys

The newsletter, sent to who said yes

Email and text a segment and schedule the send. Consent is checked per person at the moment it goes.

Schools and community groups

Events, tickets, forms and a shop, with families at the centre.

A fair, a concert, a term of classes. Families register, buy tickets, fill in the forms, and a guardian sees their own child's programme once the school approves it.

Programmes

Registrations with consent

Sessions, registrations with consent on file, check-in at the door or on a kiosk, and grade rollover at the end of the year.

Forms and surveys

Forms that end up somewhere

Permission slips, surveys and applications with a consent receipt, embedded on your own website if you like.

Shop and conversations

Uniforms, and a line to families

Stock counted and orders taken online. Secure messages between a parent and the school, answered from the inbox.

Professional services

Appointments, invoices, the inbox and the documents, in one place.

Clients book time, get billed and write in. What they send, and what you send back, sits on their record rather than in somebody's mailbox.

Appointments · labs

Clients book their own time

A public booking page for a call or a visit, confirmed by the desk, with a record of who came.

Inbox and mailbox sync

One inbox for the practice

Mail sent or copied to the workspace address lands in one place. In labs, connect a Microsoft 365 or Gmail mailbox and replies go out from your own address.

Files

Letters, forms and scans, kept

Files live in private storage. Earlier versions and anything deleted can be recovered for thirty days.

Franchises and multi-site groups

Every site on one tree, and each one sees its own.

Sites, regions and departments sit on one tree. Staff put on a node see its customers and everything beneath it. The person who answers for a node owns its budget.

  • South regionDirector · owns the budget
  • Site threeCoordinator

Staff on a node see its people and everything beneath it. Owners and admins always see the whole tree.

Branches

One tree for everything

The same tree decides who sees which people, whose budget an expense lands on, and how the board pack groups its figures.

Roles

A person per site

A director answers for an area: its people, budget and approvals. A coordinator runs the sessions and check-in at their site.

Approvals

Changes approved where they belong

A site manager can be allowed to approve corrections for their own branch, and nobody else's.

Charities and foundations

Appeals, monthly giving and a receipt for every gift.

Run the appeal, keep the monthly givers, report to the funder and roster the volunteers, from the same list of people.

One supporter
  1. 01Asked
  2. 02Gave
  3. 03Receipted

Fundraising

Appeals and monthly giving

Preset amounts, a total that moves while the page is open, and supporter pages approved before they go live. Givers change the card or stop the gift themselves.

Grants

Reports that do not move

A metric register, reports with locked snapshots, reminders, and small groups suppressed so nobody is identifiable.

Volunteers

From application to roster

Applied to approved, checks with an expiry, trainings that recur, rosters and hours.

Anything else

Not one of these? Describe yours.

Roost is not built for one industry. Write a few sentences about what your company does and Roost proposes the modules, quoting the words that decided each one. Nothing is switched on until a person saves.

Next step

Start from what you do, not from a template.

Every workspace begins with the same core. The switches are yours, and you can change them whenever the business does.
